Switching water cooler providers takes one phone call, one short site visit and one install, and the install itself is quick. You'll hear back within 1 business day, and if you start with a free trial, you'll know within about a week whether the new setup is a keeper.
Most offices that switch already have a cooler in the break room. The machine is rarely the reason they call. The reason is a provider that stopped answering, stopped showing up, or stopped changing the filters. Here's what the move actually looks like, step by step.
Why do offices switch water cooler companies?
The same few reasons come up again and again:
- Slow or missing service. The cooler stops working and the call goes into a ticket and a wait.
- Maintenance nobody schedules. The filters haven't been changed in who knows how long, and the water has started to taste flat or off.
- An old machine. It's been in the break room for years and it looks it.
- A store-bought unit nobody looks after. It was cheap and easy to buy, and nobody has touched it since.
If any of those sound familiar, switching is usually less work than living with the problem.
What happens when you switch?
- You ask. Call or send a request. We'll reach out within 1 business day.
- A rep visits. A sales rep comes to your office and looks at where the cooler should go. They check three things: a water line we can tee off, a drain (reverse osmosis sends some water to drain), and a power outlet nearby. Most break rooms have all three, and the spot your old cooler stands in usually works.
- You pick the machine. The rep helps you choose based on how many people use it and what they want. That might be a bottleless water cooler for cold and hot water, or a combo unit that adds pebble ice.
- We install it. Our own technicians run a small line off your existing water line, connect the drain, plug it in, and clean up after themselves. It doesn't disrupt the work day.
- You try it, or you're done. You can start with a free trial or go straight to a regular install. With a trial, we follow up about a week later to see how it went.
- Billing gets set up. After that, the cooler is ours to look after.
How long does each step take?
We'd rather not promise a calendar we haven't seen, but here's what to expect:
- First contact: within 1 business day of your request.
- Site visit: one appointment, scheduled when it suits you. It's a look at the space and a conversation, not a project.
- Install: quick and tidy. Most go in break rooms, and the rest of the office carries on around it.
- Trial: about a week, so your team gets a real feel for it.
The longest part is usually finding a time for the site visit that works for whoever makes the decision.
What do you need to do on your end?
Not much. Someone needs to be at the site visit who can say where the cooler should go and roughly how many people will use it. That's often the office manager, HR, or at a smaller business, the owner.
If your current cooler belongs to another company, it goes back to them. We'll plan our install timing with you so there's no gap where the break room has no water. If the old unit is a store-bought cooler you own, it's yours to keep, move or get rid of.
What changes after you switch?
The machine is new, and people notice. But the bigger change is the service:
- Free service calls. If the cooler isn't working, we come out and fix it or swap it, as often as you need.
- Fast response. Most service calls are completed the same day, and nearly all the rest the next day.
- Maintenance you don't have to remember. We schedule preventative maintenance about every 12 to 18 months and change the filters then.
- A local person on the phone. Calls are answered in Salt Lake City by our own team, and the technicians who show up are our own employees.
Every system we install also runs your building's water through reverse osmosis, which takes out the chlorine taste and most of the hardness in Utah tap water.
Is there a good time of year to switch?
Any time works. That said, a lot of offices feel the pain in summer, when the cooler and the ice get used hardest and a broken machine is most noticeable. If yours is already limping, switching before the hot months saves you a frustrating July.
Before you switch
It's worth asking any provider a few pointed questions first, including ours. We've collected them in questions to ask a water cooler service company before you switch. And if you'd like to see the trial in detail, here's what a free water cooler trial looks like.
We work with offices across Utah, from downtown Salt Lake City to Ogden, Provo and Park City. Ready to switch? Get a free quote and we'll reach out within 1 business day, or call 801-609-4321.
