What does a free water cooler trial look like?

· Water Star USA

A free water cooler trial is a full install of a real machine in your break room, at no charge, for about a week. At the end of the week we follow up to see how it went, and if your team wants to keep it, we set up billing and that's it.

It's not a demo unit on a cart. It's the same install, the same purified water and the same machine you'd keep. Here's how it goes, from the first call to the check-in.

Why offer a free trial at all?

Because the easiest way to decide on a water cooler is to use one. A brochure can't tell you whether your team likes pebble ice, whether the hot water gets used for tea and oatmeal, or whether the spot by the fridge works better than the one by the window.

A week answers all of that. And it works: 98% of businesses that try one keep it.

Step 1: You ask, and we reach out

Send a request or call. We'll reach out within 1 business day to set up a site visit at a time that suits you.

Step 2: The site visit

A sales rep comes to your office and does two things.

Finds the spot. Every machine we install needs a water line we can tee off, a drain (reverse osmosis sends some water to drain), and a power outlet nearby. Most break rooms have all three. Some machines go in lobbies or work areas instead.

Helps you pick the machine. Based on how many people will use it and what they want, the rep recommends a bottleless water cooler for cold and hot water, a water and ice combo unit that adds pebble ice, or a dedicated ice machine. If you're not sure how many you need, see how many water coolers or ice machines an office needs.

Bring whoever makes the decision. At a larger company that's often the office manager or someone in HR. At a smaller business, it's usually the owner.

Step 3: The install

Our own technicians install the machine. They tee off an existing water line with small tubing, connect the drain, plug it in, and clean up after themselves. It's quick, and the rest of the office carries on around it.

Every system runs your building's water through reverse osmosis, which takes out the chlorine taste and most of the hardness in Utah tap water. The first glass is usually when people start paying attention.

If you're switching from another provider or a store-bought unit, we'll plan the timing with you so the break room isn't without water. More on that in how to switch water cooler providers.

Step 4: About a week of everyday use

This is the part that matters. Use it the way you would if it were already yours. A few things worth watching:

  • How often it gets used. Is there a line after lunch? Does the ice run low?
  • What people say. Teams tend to have opinions about water and ice, and they'll share them.
  • The hot water. It's easy to overlook until people start making tea, cocoa and oatmeal with it.
  • The spot. Is it easy to get to? Is it in anyone's way?
  • What's changed. Fewer cases of bottled water at desks? Fewer trips to the gas station for ice?

If something isn't working during the week, call us. A real person in Salt Lake answers.

Step 5: The check-in

About a week after the install, we follow up. We'll ask how the team likes it, whether the machine is the right size, and whether it's in the right spot.

If it's a fit, we set up billing and you're done. If something needs adjusting, like a different machine or a better location, we'll talk it through.

What happens after you keep it?

From then on, the machine is ours to look after:

  • Free service calls. If it isn't working, we fix it or swap it, as often as you need.
  • Fast response. Most service calls are completed the same day, and nearly all the rest the next day.
  • Maintenance we schedule. About every 12 to 18 months we change the filters and check the machine over. We reach out to set it up.
  • Our own technicians. The people who installed it are the people who come back.

Is a trial right for every office?

Not always. Some businesses already know what they want and go straight to a regular install, which works the same way minus the check-in. The trial is for anyone who'd rather see it first, or who needs to show a manager or owner before deciding.

We run trials for offices across Utah, from Salt Lake City to Ogden, Provo and Park City. Ready to try one? Get a free quote and we'll reach out within 1 business day, or call 801-609-4321.

How long is a free water cooler trial?

About a week. That's long enough for your team to use it on busy days and slow ones, and for you to see how it fits the break room.

Is the trial machine a demo unit or a real install?

A real install. Our technicians connect the machine to your water line and drain the same way they would for any customer, so your team uses exactly what they'd keep.

What happens at the end of the trial?

We follow up about a week later to see how it went. If your team wants to keep it, we set up billing and it's done. 98% of businesses that try one keep it.

What do we need for a trial install?

The same as any install: a water line we can tee off, a drain for the reverse osmosis system, and a power outlet nearby. A rep checks all three at the site visit.
